Employees & access

Add each employee to Wylari so attendance, kiosk actions, and staff activity are recorded under their own name. Employees can also sign into the staff portal using their own secure account.

Adding an employee

Enter the employee's basic information, assign a unique Kiosk PIN, and add their work email. The email is used to verify their device the first time they sign into the staff portal.

Once added, they'll appear under Your team, where you can edit their information or archive them if they leave.

Kiosk PIN

Each employee uses their own PIN when checking children in or out. This ensures attendance records clearly show which employee performed each action instead of recording a generic "Staff" entry.

The same PIN is also used to sign into the staff portal after the employee has verified their device.

Role & permissions

What each employee can access is set per person, right on their card here on the Employees page. Pick a role — Assistant, Lead, or Manager — as a starting point, then tick or untick individual permissions for a custom mix (for example, a bookkeeper who only handles Payments). Employees always have access to check children in and out; everything else is opt-in. Settings, billing, and employee management stay owner-only. The Auto sign-out control on this page signs an idle staff dashboard out on a shared PC.

Archiving employees

Archive employees who are no longer with your daycare instead of deleting them. Their account is disabled, but all past attendance records and activity remain part of your permanent records.
